How a Custom Software Solution Transformed a Traditional Business: The Story of the Furniture Man and the Elephant Cart  How a Custom Software Solution Transformed a Traditional Business: The Story of the Furniture Man and the Elephant Cart

A Business Transformation Consultancy Changed the Game

Here’s an engaging story that illustrates a common challenge in business transformation — particularly when a business reaches a level and needs help of Technology to support growth. At this point businesses can make mistakes and struggle due to wrong decisions. Whether to go for low cost freelancing, or go for a small or big-brand solutions that impose rigid processes, or go for an exact custom software solution that understands your business and design a solution exactly fitting your bespoke needs

Read on to discover how custom technology solutions, backed by the right business transformation consultancy, helped this businessman completely revamp and scale his operations. Very important lessons with fascinating examples!

In an old town near the forest, there lived an old businessman ‘Jim’. He made a lot of furniture and wooden toys. He was really good at his work, and people from far-off places often sought his creations. The climate and the soil made the wood special, and that location, most ideal for the furniture factory. On top of it, Jim’s creativity and quality were unmatched. (Unique offering)

But the problem was that Jim had a difficulty in taking the goods to highway, from where large trucks would carry the shipments. He first tried to use his own people for moving goods manually. But this took too long. Sometimes it would take too many people to carry the heavier furniture. Also, this diverted his skilled workers from their core expertise, for this routine work. This limited his growth.

He started looking for external help. Jim realized that all kinds of work can’t be done by his team, and they should carry on with what they were good at.

(This was Jim’s realization – that you need to focus on your strength areas, and need outsourcing, to a strategic partner for other areas of expertise, like Technology for business transformation)

First, he looked at the smaller, low-cost options. There were many shops, and their workers offered to work part time for this transportation. Since Jim paid well, they were happy to work after their work hours. Some of them worked for Jim even during their work time, at the cost of their employers. (Freelancers and moonlighters) But since they were not dedicatedly working for Jim, he had very little control over them. Sometimes Jim would keep the goods ready to be carried, and these part timers just won’t show up. Sometimes due to negligence his furniture would get damaged. Once the problem became more severe, when some of the wooden toys from a shipment were stolen, resulting in the customer doubting his reliability!

Jim realized, while he was perfecting the art of furniture making, his operational backbone was silently cracking.

Jim had heard a lot about some big transport machines. One of the most popular one, used a cart that was pulled by elephant (Ele-cart). Very strong and robust! These options were expensive, but he thought – let’s go for it. If I want to make it real big, I should invest in this solution. He collected all his savings and decided to go for the elephant solution. (Heavy weight big brand ERP)

Similarly, many businesses start with a unique product or service but struggle when it comes to scaling operations. To manage growing needs, they often try the seemingly economic solutions and find them lacking in consistency and control. That’s when businesses look for heavy big brand ERPs—assuming this would solve everything. But without deeper understanding of the real problem, these solutions will fall short. What’s truly needed is a solution that’s built around the business — like a custom software solution or a custom technology solution — designed to support specific goals and challenges.

  • The Big Brand Solution

The big cart with elephant arrives in his town. They made a big event announcing the implementation of the big brand solution. There was excitement and euphoria. But there was a small problem.

The town had many small lanes. How would this elephant cart move in the town? Particularly some places, there was no space to turn.

So, this elephant company sent a “small town expert”, and he suggested, that they will have to cut some trees near the corners, so that Ele-cart could turn.
“Hmmm, I had not planned for this additional cost”, Jim the thought.

But he got the municipality permissions and got some trees cut to facilitate the ele-cart. He was happy, that now, he will be able to do much more and faster.

He was talking to his friend about this progress, and this friend, a true well-wisher, kept telling him – Beware! 48% of the ele-cart solutions fail miserably. But the businessman was so awed by the brand name, he said, “But, this is the most famous transport cart, this could be my best bet!”

Now that all was taken care – shipments started. And as the day ended, Jim realized, that he has to make arrangement for the Ele-cart to be docked at night. There was additional cost involved. Now many new issues started cropping – the cart could be used only by some certified mahouts (certified consultants). When the operator was on leave, the business couldn’t stop, so he had to hire an additional operator for backup. The cartwheels were manufactured by a company in Europe and had to be maintained by the same company. It needed special lubricants, and this came from America!

Reluctantly he went on accepting these surprises. He had invested so much in the solution already, that going back didn’t seem viable.
It is not easy to decide what is the tipping point to move from ready solution to custom fit technology or software solution. It also depends on whether your business plans to become unique, and so will need innovation for business transformation

There were some canals going through the town. The ele-cart could not directly cross it. They had to hire a special bridge for these scenarios. (Additional licenses/ integrations)

In despair he called his friend, and said, I want to spend some time to get over this stress.

(So whatever solution you may go for, small or big, the key point is understanding the pulse of the business, to be able to give a business transformation consultancy, which then results in the right solution.

Many businesses choose ready solutions thinking they will solve all their problems. But later, they face hidden costs, strict constraints, and processes that don’t match how their own business works. Such solutions often need special consultants, extra tools, and changes to processes that may already be effective. In contrast, a custom software solution from an experienced and trusted business transformation consultancy can offer the solutions tailored to your specific needs — one that’s simpler, more flexible, and more cost-effective.

  • Friend’s Advice -A Turning point

Jim and his friend spent a weekend together, talking about various things. But the subject came up and he asked his friend,

“Such a famous cart – do you think it is a bad product? I have seen many learned people also praising it”

His friend said – “Of course it is a great product. But It’s not about the product. It’s about the fit. I go to shop for a suit, and if the readymade suite – however great it may look, if it is loose for me, Do you think I would want to become fat just to fit into it?

Jim said, my problem maybe complex. What kind of solution would be right for me?

His friend said – Have you heard of Falkirk wheel? Let me tell you the story.

In Scotland many years back, There were 2 canals at different elevations by height of 115 feet & Ships had to go through 11 steps to be able to transport between them.

Don’t you think many well-known big-brand transport providers with their trucking solutions were offered, before the Falkirk Wheel was designed? But were they the optimal solutions? The intelligent people created a wheel, a kind of lift, that connected the canal at 2 heights. Once the ship was loaded in the wheel (lift) it would rotate and bring it to the lower/ higher level.

So much water and a full-sized ship! This would be so heavy, what kind of power will be needed?

Not really! This was a wheel. The same weight of water was on the other side, balancing the mechanism, and with minimal power they managed the perfect and optimal solution!

It was elegant, efficient and designed perfectly for the unique problem.
Something clicked inside Jim. He realized, it’s not about choosing the biggest or most famous, its about understanding the real problem.

So, what you need is someone smart to understand your problem , and give a perfect solution to your puzzle, for the best possible outcome with the least possible investment.

For the first time Jim changed his focus to fitment, intelligence, and creativity.

Sometimes you really have to break the boundaries of routine, think out of the box, use all data points smartly, and do a specific solution.

So, Jim started looking for smarter options. Now he was mentally freed from the barriers of branding and started meeting service providers who have a history of smart solutions.

The Falkirk Wheel symbolizes exactly what the right custom technology solution should be — intelligent, efficient, and beautifully tailored to the problem at hand.

It shows that innovation doesn’t always mean more complexity or cost — sometimes, it’s about crafting the perfect fit using available resources and smarter design.

  • The Perfect Solution! (Custom-fit)

So finally, when the right match was found, they worked together. This team understood every single aspect of the business, the geography, the hurdles, competition, and asked many questions to understand the goals/ ambitions of the business.

Final solution was not just a single cart but actually consisted of multiple pieces, innovations, processes and consultancy.

They found that the canal that flows through the town can actually be used to transport a lot of heavy material closer to the highway. As the canal was not suitable for standard boats, they custom designed a raft – built with the waste material of the furniture factory.

There was an interesting mechanism of pulleys for loading things in the raft, and picking them at the pick-up point. By smart scheduling the processes in factory they could produce more in shorter time. (Process optimization)

So, would this result in more people becoming redundant, causing job loss? Not really! The innovative partner showed some newer avenues that the business could get into. They introduced change management, and ongoing training as a process for the business and the resources to adapt to the changes. There was an algorithm created to decide the raft size and loading based on the season and the flow of water (which would be more in rainy season) They found that some products were bulky and posed challenge in transporting.

Here the consultants suggested an idea – that this can be broken into some smaller parts which would be assembled once the parts were loaded in larger trucks. Assembly could happen as the trucks reach their destination. When delivering the products to far away customers, there used to be minor wear and tear, loss of polish at edges etc. They suggested that some of the final finishing also can be moved onto the trucks, so we have optimal productivity, and also the product looks much better/ fresher when it lands at the customer’s place.

In short it was not just a transport solution; it was a complete business solution – resulting in a revolutionary business transformation!

Now the furniture man and the consultants are like partners, with great trust and mutual respect, and the business has reached its true deserved potential!
